Open enrollment is an annual event at this utility corporation. Communicationmaterials are sent to employees each fall in preparation for their annual benefits open enrollment period. The audience includes employees in several companies located throughout the country (union, non-union, full-time, part-time), many having different options available to them.

Issues

  • Everything needs to be similar in look and treatment, yet distinctly different for easy fulfillment.
  • The primary objective each year is to keep materials “fresh” and easy to understand.

Solution

  • BI created a system that is easy to maintain from year-to-year. Graphic treatments vary by piece; main audience items are color-coded for easy identification by the fulfillment house. This design simplifies the assembly process at the fulfillment house, ensuring that each person receives the appropriate materials.
  • A production calendar for the project is developed at project inception, allowing as much approval time as possible to meet the delivery date.
  • Relevant issues are explored and changes to benefits are discussed to determine strategic direction. This process drives creative theme and treatment development to best reflect the state of the company and communicate the benefit offerings.
